Exporting companies and users
The export downloads the whole filtered list of the Companies or Users page as CSV files. You open them in a spreadsheet. They also hold sign-in and activity figures that the pages do not show. Use it for reports, data cleanup and account reviews. An example is “which owners have not signed in for a month”.
What it does
Section titled “What it does”The staff lists show seven rows per page and a few facts per row.
One button on each list downloads every record that matches the current filters, on all pages. The Users export is one CSV file with 27 columns per customer user. The Companies export is one ZIP file with three CSV files: the companies, their members and their owners’ tools.
- Export the companies you filtered on the Companies page. Export on the Companies screen.
- Export the customer users you searched for on the Users page. Export on the Users screen.
- Read every column and where its value comes from. Understanding the export files.
- Know which values come from the logs, and why they can be empty. How comrce Hub reads the audit log.
Every export itself appears in the logs as Data export completed. The entry shows who exported what and when.
Before you start
Section titled “Before you start”| Requirement | Details |
|---|---|
| Staff role | Admin or Super Admin. Supporter and the staff role Partner do not see the button. |
| Where | Companies and Users, the Export button in the filter row. |
| At least one row | The button is available only while the list shows at least one row. |
| A program for CSV files | Any spreadsheet program. The file format is in What you need to know. |
| Cost | None. |
Understanding the export files
Section titled “Understanding the export files”Both exports are built at the moment you select the button. Most values show the current state. Values from the logs show the history comrce Hub has recorded. The file name says what was exported, by whom and when.
| Export | File you download | Inside | Name pattern |
|---|---|---|---|
| Users | One CSV file | One row per customer user | external-users_<your email>_<date>-<time>Z.csv |
| Companies | One ZIP file | organizations.csv, members.csv, tools.csv | companies_<your email>_<date>-<time>Z.zip |
The date and time are UTC. For example, an export at 09:00:00 UTC on 10 March 2026 is companies_jonas.becker@example.com_20260310-090000Z.zip. In your email address, every character other than letters, digits and @ . _ + - becomes _.
How values are written
Section titled “How values are written”| Kind of value | How it appears | Example |

| Date and time | UTC, day/month/year and 12-hour time, no seconds | 09/03/2026 4:12PM |
| Yes or no | yes or no | mfa_enabled = yes |
| No event recorded | An empty date, or 0 for a count | last_login_at empty, login_count = 0 |
Text starting with =, +, -, @, a tab or a line break | Prefixed with an apostrophe, so a spreadsheet shows it as text | -Nordwind- becomes '-Nordwind- |
| Countries | English country name, or the two-letter code where the column says so | Germany, DE |
| Tools | The tool’s internal name in lower case | billbee, ventoryone |

| Column | What it holds |
|---|---|
organization_id | The company |
tool | amainvoice, billbee, replyco or ventoryone |
tool_status | Always active, because only current connections are exported |

How comrce Hub reads the audit log
Section titled “How comrce Hub reads the audit log”Columns marked “Logs” are calculated from the events you see under Logs. Four rules apply to all of them:
- Impersonation does not count. Events from staff working in the customer’s account with a service PIN are left out. A support session does not make a customer look active.
- Activity means activity in comrce Hub. The FAQ on activity lists what counts. Events reported by the tools themselves are not activity.
- No history means empty. Without a matching event, a date is empty and a count is
0. This is normal for accounts created before the events were recorded. - Periods are counted back from the export. “Last 7 days” and “last 30 days” end at the moment you select the button.
What counts as a change
Section titled “What counts as a change”updated_at is the latest of these events for the user or the company:
- every activity and every failed sign-in
- a status or permission change
- connecting or disconnecting a tool
- an admin switching off two-factor authentication
- marking an account for deletion, or cancelling it
- an admin editing company details
The Users file also counts changes to the company the user owns. The Companies file also counts changes to member names and email addresses, deleted member accounts and the owner’s language.
Setting it up in three steps
Section titled “Setting it up in three steps”-
Filter the list. Open Companies or Users and set the search and filters until the list shows what you want. The pager total tells you roughly how many rows to expect.
-
Select Export. Select Export, the square button with the download arrow in the filter row. It shows a spinner while the file is built.

The Export button sits next to Invite Company and exports the whole filtered list, not just the page. What this screenshot shows
- Screen
- Companies
- Highlighted
- “Export”: downloads the filtered company list as a ZIP file
- Also visible
- 7 companies on page 1 of 23 results; Invite Company button to the right of Export
- Purpose
- entry point of the company export
-
Open the file. comrce Hub shows Export downloaded successfully, and your browser saves the file. Unzip the company export before you open the CSV files.
Every setting, explained
Section titled “Every setting, explained”
Every setting, explained
Section titled “Every setting, explained”The export has no settings of its own. The list’s filters decide what is in the file, and one button starts it.
Export, the button
Section titled “Export, the button”The square icon button Export with a download arrow. On the Companies page it sits left of Invite Company. On the Users page it sits right of the search field.
Downloads the filtered list at once, with no confirmation dialog. It is unavailable while the list shows no row and while an export is running. During the export it shows a spinner, and for a moment afterwards a check mark. Then you see Export downloaded successfully or Export failed. Please try again.. Only Admin and Super Admin see the button.
Exporting customer data is limited to admins and recorded in the logs.

The filters decide the rows
Section titled “The filters decide the rows”The search field and, on the Companies page, Select country and Status. The export uses whatever they hold when you select Export.
The export uses the same search rules as the list, so every word must match. On the Users page, a valid service PIN as search text exports exactly its owner. The page you are on does not matter, because the file always holds every page.
You check the selection on screen first and then get exactly that selection, complete, in the file.
| You set | The file contains |
|---|---|
| Nothing | Every company, or every customer user |
| Country DE | Companies with a German address |
| Country DE and status Deactivated | German companies whose owner’s membership is deactivated |
Search hamburg on the Companies page | Companies whose name, owner name, owner email or city contains “hamburg” |
Search @example.com on the Users page | Customer users with that email domain |
| Do | Don’t |
|---|---|
| Filter first, then export | Export everything to filter in the spreadsheet when the list filters can do it |
| Delete the file when the task is done | Forward the file to customers or partners |
Use user_id and organization_id to match rows across files | Match on names, which are not unique |
How the settings combine
Section titled “How the settings combine”| List state | Button | Result |
|---|---|---|
| At least one row | Available | A file with every matching record |
| No row | Unavailable | Nothing to export |
| Export running | Spinner, unavailable | Wait for the file |
| You lack the role | Not shown | Ask an admin |
Export in the admin console
Section titled “Export in the admin console”Export on the Companies screen
Section titled “Export on the Companies screen”Companies, Export in the filter row. The ZIP file holds the companies the list shows across all pages. It adds every non-deleted membership of those companies and their owners’ tools. When the browser has the file, comrce Hub confirms it:

What this screenshot shows
- Screen
- Companies
- Highlighted
- “Export downloaded successfully”: none
- Also visible
- Notification Export downloaded successfully; Green check mark in the Export button
- Purpose
- the result of a company export
Why: one file per subject keeps one row per company and still lists each member and tool.
Export on the Users screen
Section titled “Export on the Users screen”Users, Export right of the search field. The CSV file holds customer users only, never comrce staff.

What this screenshot shows
- Screen
- Users
- Highlighted
- “Export”: downloads the filtered customer users as a CSV file
- Also visible
- 7 users on page 1 of 41; Search field Search users
- Purpose
- entry point of the customer user export
The Users file holds the same people as the list. Both show every customer account that is not deleted yet. That includes users without a current membership and accounts scheduled for deletion. That is why the file has the scheduled_deletion_at column. Users without any active, pending or deactivated membership have account_status = deleted.
Why: an account review must also see the accounts that are about to be deleted.
While the list shows no row, the button is unavailable, because the file would be empty.

- Highlighted
- “Export”: none
- Also visible

Audit log
Section titled “Audit log”Every finished export writes Data export completed with you as the actor. The entry records:
- which export it was,
companiesorexternal-users - the search, country and status you used
- the export time and the number of rows, for companies also the member and tool rows
The event is listed with the other labels in the audit trail’s event types.
Why: customer data that leaves comrce Hub must be traceable to the person who took it.

Frequently asked questions
Section titled “Frequently asked questions”
Frequently asked questions
Section titled “Frequently asked questions”General
Section titled “General”Who can export companies or users?
Section titled “Who can export companies or users?”Only staff with the Admin or Super Admin role. They see the Export button on the Companies and Users pages. Supporter and the staff role Partner do not see it.
Does the export contain only the page I am looking at?
Section titled “Does the export contain only the page I am looking at?”No, the export always contains every record that matches the current search and filters, on all pages. Neither the page you are on nor the page size limits the file.
Can I choose the columns?
Section titled “Can I choose the columns?”No, every export has a fixed set of columns. There are 27 for customer users, and 19, 6 and 4 for the three company files. Hide or delete the columns you do not need in your spreadsheet.
Is the export recorded anywhere?
Section titled “Is the export recorded anywhere?”Yes, every finished export appears in the logs as Data export completed. The entry names the staff member, the filters, the time and the number of rows. The file itself is not stored in comrce Hub.
Why is the Export button greyed out?
Section titled “Why is the Export button greyed out?”The Export button is unavailable while the list on the Companies or Users page shows no row. It is also unavailable while an export is running. Change or clear the search and filters until rows appear, or wait for the running export.
Why can’t I see the Export button at all?
Section titled “Why can’t I see the Export button at all?”The button is shown only to staff with the Admin or Super Admin role. With another role, ask an admin to run the export with the filters you need. Or ask for a role change.
Is there a confirmation before the download starts?
Section titled “Is there a confirmation before the download starts?”No, selecting Export starts the export at once. The button shows a spinner until the file arrives. Then comrce Hub shows Export downloaded successfully, and your browser saves the file.
Where does the file go?
Section titled “Where does the file go?”Your browser saves it like any other download, usually to its download folder. The name looks like companies_jonas.becker@example.com_20260310-090000Z.zip, with your email address and the export time in UTC.
The files
Section titled “The files”Why does the company export come as a ZIP file?
Section titled “Why does the company export come as a ZIP file?”The company export holds three tables of different shape. The file organizations.csv has one row per company, members.csv one per membership and tools.csv one per owner tool. The ZIP file packs them together. Unzip it before you open the CSV files.
Why do umlauts look wrong in my spreadsheet?
Section titled “Why do umlauts look wrong in my spreadsheet?”The files are UTF-8 with a byte order mark, which most spreadsheet programs detect. If yours does not, import the file instead of opening it. Choose UTF-8 and the comma as separator. The data in the file is correct either way.
Why do some names start with an apostrophe?
Section titled “Why do some names start with an apostrophe?”An apostrophe goes before any value starting with =, +, -, @, a tab or a line break. Without it, a spreadsheet program would treat the value as a formula. With it, you see the text as the customer typed it.
Why does the member file say Accountant when the console says Partner?
Section titled “Why does the member file say Accountant when the console says Partner?”The files use the stored role names. The value Accountant in the member_role column is the company role the console shows as Partner. It is not the staff role of the same name. Owner and Member match Owner and Member.
In which time zone are the dates?
Section titled “In which time zone are the dates?”All dates and times in the export files are UTC. They are written as day/month/year with a 12-hour time, such as 09/03/2026 4:12PM. The time in the file name is UTC too. Add one hour for German winter time and two for summer time.
Audit-based values
Section titled “Audit-based values”Why is last_login_at empty for a customer who signs in every day?
Section titled “Why is last_login_at empty for a customer who signs in every day?”The sign-in columns come from the logs. Sign-ins from before comrce Hub recorded them leave the column empty and the counts at 0. So do sign-ins only during a support session with a service PIN, because those never count for the customer.
Why is created_at later than the date the customer registered?
Section titled “Why is created_at later than the date the customer registered?”created_at is the date of the oldest log entry for the user or company. For accounts that existed before the logs recorded their events, this is later than the real registration. For newer accounts the two match.
What counts as activity in last_activity_at?
Section titled “What counts as activity in last_activity_at?”Actions the customer takes in comrce Hub itself:
- signing in and out
- changing their password, name, email address, language or avatar
- two-factor actions and cookie consent
- company details and logo, invitations and ownership transfers
- account deletion requests, Marketplace installs and approving a third-party sign-in
Actions reported by the tools do not count. Neither does anything done during impersonation.
Why does failed_login_attempts count wrong two-factor codes?
Section titled “Why does failed_login_attempts count wrong two-factor codes?”The column adds up every failed attempt to get into the account. That includes a wrong password, a lockout, a failed third-party sign-in and a wrong two-factor code. Attempts during impersonation are left out. A high number can mean a customer struggles to sign in, or someone is guessing passwords.
Users export
Section titled “Users export”Does the Users file hold the same people as the list?
Section titled “Does the Users file hold the same people as the list?”Yes. The list and the file both include every customer account that is not deleted yet. That includes accounts scheduled for deletion and users without a current membership. The column scheduled_deletion_at shows when a scheduled account will be deleted.
Does the Users export include comrce staff?
Section titled “Does the Users export include comrce staff?”No, the Users export contains customer accounts only, never staff accounts. Staff accounts are listed under Hub Team, which has no export.
Can I export a single user?
Section titled “Can I export a single user?”Yes, search for the user’s full email address or user ID, or paste their valid service PIN. When the Users list shows only them, select Export. The CSV file then has one data row.
Companies export
Section titled “Companies export”Why is a company I know missing from the company export?
Section titled “Why is a company I know missing from the company export?”The company export follows the Companies list. A company whose owner’s account is marked for deletion or deleted is in neither. A company that was only invited does not exist yet. Check the filters too, because the export uses them.
Why does tools.csv not show a tool a member uses?
Section titled “Why does tools.csv not show a tool a member uses?”tools.csv lists only the tools the company owner has connected, like the Tools used column. A tool that only another member connected is in the Users export, in that member’s accessible_tools.
Why is total_members lower than the Members column in the console?
Section titled “Why is total_members lower than the Members column in the console?”The Members column counts every membership, also deleted ones. The column total_members in organizations.csv counts only active, pending and deactivated members. The file members.csv lists only those.
Data and privacy
Section titled “Data and privacy”May I share an export file with a customer or partner?
Section titled “May I share an export file with a customer or partner?”No, the files contain personal data of many customers, such as names, email addresses and sign-in history. Keep them internal under comrce’s data protection rules, and delete them when you no longer need them. The logs record who exported them.
Does the export change anything in comrce Hub?
Section titled “Does the export change anything in comrce Hub?”No, an export only reads data. The only thing it writes is the Data export completed entry in the logs. Customers are not notified, and nothing in their accounts changes.
Troubleshooting

Troubleshooting
Section titled “Troubleshooting”| Symptom | What to check |
|---|---|
| Export is not shown | Your role must be Admin or Super Admin. |
| The button is greyed out | The list shows no row, or an export is still running. Clear the search and filters. |
| Export failed. Please try again. | Start the export again. With a very large unfiltered export, the console stops waiting after two minutes. Narrow the filters, for example by country, and export in parts. |
| Export failed. Please try again. together with You do not have permission for this action. | Your role was changed since you signed in. Sign in again or ask an admin. |
| Export downloaded successfully but no file | Check the browser’s downloads list and whether it blocks automatic downloads for the console. |
| The CSV opens as one column or with broken umlauts | Import the file as UTF-8 with the comma as separator instead of opening it. |
| A company or user from the list is missing in the file | Compare the filters. For companies, check whether the owner was marked for deletion after you looked at the list. |
| Sign-in or activity columns are empty | The logs have no matching events, for example for activity before recording started or only during impersonation. |
| A user scheduled for deletion is in the file | Expected: the list and the file keep the account until it is deleted. Its account_status is scheduled_for_deletion. |
| Dates look one or two hours off | The files use UTC. |
