Bring a new customer company into comrce Hub
A new customer signed with comrce and needs their company in comrce Hub. To onboard a customer, you invite the future owner by email. They create their account and enter the company details. comrce Hub then creates the company, with them as active owner. The invitation is valid for seven days, and you can resend it.
Before you start
Section titled “Before you start”| You need | Where it lives |
|---|---|
| The Admin or Super Admin role | Your team member page under Hub Team. Other staff roles see neither the invite button nor the invitations list. |
| The email address the owner will sign in with | From the customer. It must not belong to a comrce Hub account, and must not have another unaccepted invitation. |
| Nothing to pay | Invitations cost nothing. |
-
Tell the customer the email is coming. Agree on the address the owner will sign in with. Ask them not to register on their own meanwhile. An account created with that address makes the invitation fail.
-
Invite the company. Go to Companies and select Invite Company. Enter the address in Email and select Invite. comrce Hub sends the email at once. Every rule of the dialog is on Inviting a new company.

Invite Company asks only for the future owner's email address. What this screenshot shows
- Screen
- Companies
- Highlighted
- “Invite”: sends the invitation, valid for seven days
- Also visible
- Email field with katharina.vogel@example.com; Cancel button
- Purpose
- inviting the owner of a new customer company
-
Check the invitation after a few days. Open Pending invites at the top right of the Companies list. An invitation still open after five days usually sits in a spam folder. Select Resend Invite before it expires. That restarts the seven days, and the earlier link keeps working. Invites explains the list.

Open invitations stay listed until they are accepted. Only expired ones can be deleted. What this screenshot shows
- Screen
- Invites
- Highlighted
- “Delete”: deletes an expired invitation after a confirmation
- Also visible
- Five invitations, newest first; Two expired rows with a red date; Resend Invite in every row
- Purpose
- following up on invitations that are not accepted yet
-
The owner accepts. The owner opens the link and sets their name and password. Then they enter the company name, VAT ID, phone number and address. The invitation leaves the Invites list.
-
Check the new company. Search the Companies list for the company and open it. The status dot shows Active, and the owner is named on the card. If the owner mistyped something, correct it with Edit. A company’s details covers the whole tab.

The company card shows the registration data and, for the Admin and Super Admin roles, Transfer Ownership and Edit. What this screenshot shows

- Nordwind Handels GmbH
- Highlighted
- “Edit”: opens the form to correct the company data
- Also visible
- Status dot Active next to the name; VAT ID, phone, address and owner; View Logs button
- Purpose
- checking that the new company is active
What happens next
Section titled “What happens next”The company is on the Companies list, with the invited person as active Owner. From here the owner works on their own. They invite their colleagues from the user list in the customer area. The customer help site explains that step for them.
Each step is in the logs, with the address and the expiry date. You’ll find Created invitation, Resent invitation and, once the owner is in, Invitation accepted. So you can tell a customer exactly when an invitation went out.
Options
Section titled “Options”| Choice | When to pick it | Effect |
|---|---|---|
| Resend Invite (recommended) | The address is right, and the email got lost or the invitation expired | The same invitation goes out again, valid for seven days from now |
| Delete, then invite again | The invitation has expired, and the customer wants another owner address | The invitation is gone for good, and the address is free again |
| Invite the right address directly | An open invitation went to a wrong address | The wrong one stays listed until it expires. Delete it then |
- Search the invitations by email. The search on the Invites page matches the email address only, so type part of it. A company name finds nothing there.
- Look in the invitations when a company is missing. An invited company does not exist until the owner accepts. Under an empty search on the Companies list, Search in invites instead runs the same search on the Invites page.
- Use a personal address, not a shared mailbox. The owner signs in with this address, and the invitation email names you as the sender.
If something goes wrong
Section titled “If something goes wrong”| Symptom | What to check | Fix |
|---|---|---|
| An active invitation for this user already exists | The Invites page for an open or expired invitation. Users for an existing account | Resend or delete the expired invitation. An address with an account needs another address for the new company. |
| The customer did not get the email | The spam folder, then the spelling of the address on the Invites page | Resend Invite |
| The link says the invitation expired | A red expiration date on the Invites page | Resend Invite on the expired row |
| Accepting fails although the link is valid | Users: was an account created with the address meanwhile? | Invite another address for the owner |
| The company appears with a wrong name | The owner typed it while accepting | Edit on the company’s tab |
